Cutting down on notifications and screen time doesn’t happen in a day, but there are a few tips that actually work.

First off, I’m ruthless with limiting my notifications - anything not directly work related or from family/close friends gets shut off.

I like the feeling of my phone not constantly yelling at me.

Then comes the app limits- they are easy to set up and remind me that maybe I’ve already had enough scrolling for the day.

I also rely on do not disturb mode. I can customise it so work-related stuff gets through, but personal notifications stay silent. It keeps my productivity level high and stress one low.

Another one? Keeping my phone physically out of reach. I just put it in another room to for example charge.

And one more thing- an hour before I sleep, my phone dims, shifts to grayscale, and stops all notifications.

So far, all those tricks have been helping me feel more in control, so why don’t you try them out too?

While trying to achieve the perfect screen time balance I’ve tested some apps, because I wasn’t doing a great job on my own at all times.

I’d surely recommend RescueTime- it tracks everything I do on my devices and gives me a breakdown of where my time actually goes.

Forest- is super cute and motivating. Every time you stay off your phone, you grow a little tree in a virtual forest. The longer you stay focused, the bigger and better your forest looks. Plus, there’s an option to plant real trees if you use it enough so it’s basically a win-win situation.

Finally- ScreenTime is great if you want to set limits for specific apps or see how often you’re picking up your phone throughout the day.

I feel like those few tools actually helped me get smarter about how I spend my time or rather waste it.

It’s like a little reality check every day.

The 100 ml rule for carry-on liquids has been a hassle for years, and despite some recent technological advancements, keeping track of which airports are lifting restrictions—and which aren't—has been a nightmare.

That’s when Karol Horosin, a creative colleague I work with, came up with a cool idea: creating a website that tracks airport liquid regulations in real-time, while also offering essential airport information and helpful travel tips.

The history behind the 100 ml rule

The 100 ml rule has been around since 2006. It came into life after a major incident in the UK, where authorities uncovered a plot involving liquid explosives.

To go through the airport security, in your carry-on luggage, you can only bring liquids in containers no bigger than 100 ml (3.4 ounces), and all of them need to fit into a single quart-sized clear plastic bag. You're allowed just one bag per person, and the total amount of liquids can’t exceed 1 liter.

The introduction of new CT scanners was expected to finally put an end to the era of 100 ml travel-sized shampoo and soap bottles. These advanced scanners, much like those used in hospitals, provide detailed 3D images of the contents inside luggage. They have the ability to rotate 360 degrees and zoom in for a closer inspection. Equipped with smart software, they can detect explosives, even in liquid form.

Months of work destroyed by EU regulations

So, the vision was clear: to create a simple, powerful platform that allowed travellers to easily check liquid limits at airports around the world.

The work was fully on: Karol was scraping data from sources like Wikipedia and gathering comprehensive details about the world’s busiest airports, Google Maps locations, airlines, and passenger traffic stats.

I was busy gathering liquid limit data, writing articles about the airports, and designing parts of the UI along the way.

As the launch approached, we connected with the online community, engaging on X and Product Hunt to gather feedback and refine the user experience.

Just as we were about to launch, the EU made a surprising announcement: major airports like Heathrow and Frankfurt would revert to the old 100 ml liquid restrictions, putting the brakes to the progress made with new CT scanners. The scanners that were supposed to be a game-changer, were making too many mistakes to be fully trusted, forcing airports to stick with the previous rules.

After months of research and hard work, it felt like all that effort had gone to waste, as the website’s key feature was now practically useless, leaving little choice but to quickly adapt and postpone the launch.

AI for data scrapping and fetching images

Throughout the project, AI played a crucial role, particularly in data scraping to gather essential information on over 150 airports.

By writing Python scripts, Karol successfully extracted valuable data from Wikipedia, including airport locations, airlines, and passenger traffic statistics.

Despite the challenges posed by the often-unstructured nature of Wikipedia's tables, he was able to create a solid database that served as the foundation for the project.

In addition to data scraping, AI was also used to integrate the Unsplash API, enabling the website to automatically pull high-quality images for each airport.

This not only improved the site’s aesthetics but also provided travellers with visual context, making the information more relatable and engaging.

Even with the liquid limit tracking feature on hold, the website was launched anyway.

The platform still has a lot of useful information for travellers, making it a pity to let all that effort go to waste.

Plus, there’s a blog on the site filled with travel hacks to help make your journey smoother and more enjoyable.

• Brevity – keep it to the point and avoiding unnecessary details while explaining the key points.

• Engaging content – include personal stories, real life examples or surprising data to support your arguments and maintain the audience interest.

• Visual aids – slides that complement your message without overwhelming it.

Well- prepared content is the basis of the good speech, but the way you deliver it matters just as much.

I save my time and use ChatGPT to outline the content for my presentation and then I just add all the details I need.

To optimize my workflow, I complete similar tasks simultaneously. For example, when designing graphics for a publication, I create them for all platforms at once. Often, only minor adjustments are needed, ensuring I have everything ready for reposting. The same applies to the writing process.

Whenever possible, I guide my audience back to the original main post. This strategy improves search engine performance, increases traffic, and boosts my SEO efforts over time. When resharing newsletter articles on other platforms, I always include the original source.

What I've learned about X so far?

One of the first things I noticed is that hashtags are outdated. They seem like an artificial way to gain more viewers and rarely accompany valuable content anymore. Instead, interaction is everything. Once you start participating in discussions, people visit your profile and begin commenting as well.

Consistency is key. It sounds cliché but is undeniably true. Missing a day or two can result in losing followers or, more importantly, losing contact in the DMs, which is more valuable than the numbers themselves. Over 100 reactions are easily achievable in a day, but the real impact comes from comments and contributions that add value, not just likes.

Understanding the algorithm and going viral is another lesson for me to be still learnt. From my experience it’s incredibly unpredictable with no clear rules. One of my posts went sort of viral, getting over 4,000 views and nearly 50 comments. It was a simple single line with a CTA in the form of a question. Despite having many more valuable posts on my feed (at least from my point of view), that one had its breakthrough moment.

Statistics so far and what’s next?

After five months, I have 123 followers. My goal by the end of the summer is to double that number.

I've posted/commented 1,115 times, and my aim is to stay consistent and post daily.

Moving forward, I plan to expand the use of X not only to promote my newsletter but also to build connections and create useful online materials for anyone interested in practical ChatGPT prompts.

The app even suggests solutions for the issues connected with different jobs.

Great for tracking billable hours and making timesheets more organised.

It records which windows you’re active in and analyses how much time is spent on certain activities.

It’s the moment when the actual work gets done.

Execution is the phase in the project life cycle where all the planned tasks are carried out in order to complete the job.

When I execute a project, I continuously track its progress to make sure that all milestones stick to the schedule.

The tasks required for the project can also change, so I’m not afraid to make adjustments as needed.

If I’m not the only one responsible for the project completion I pay attention to communication and keeping everyone aligned.

How to plan project execution effectively?

To plan project delivery effectively I try to follow these steps:

1. Defining project scope – I think of project's objectives and deliverables. It helps me and anyone else involved better understand what will be accomplished.

2. Creating a work breakdown structure – I break down the project into smaller, manageable tasks. This gives me a basic outline of how the work will be organised and executed.

3. Outlining the project schedule and milestones – I set deadlines for each of the tasks and identify key checkpoints necessary for a proper project completion.

4. Managing risks – I try to think potential risks and uncertainties connected with the project execution. If possible I outline some strategies that will help me deal with the predicted issues.

5. Ensuring quality – I define the standards both for the whole project and the individual tasks. I follow the rule better done than perfect, but still want to achieve satisfying results.

6. Setting monitoring mechanisms – I consistently track and update project status. If needed I make timely adjustments and correct certain steps of project completion.

Project planning and tracking in Notion

In the menu bar on the left I create a new tab and name it Projects.

I click on the table view available at the bottom of the page.

I create 5 columns in my table.

Once I click on the column I can edit the property.

The table includes following columns:

1. Project name (Type of property: Title)

I enter a short yet descriptive name for the project.

After entering the project name in my table I can create subtasks needed for its completion.

I open the project page by clicking on its ‘Project Name’ row.

In the body of the project I add board view.

I simply name this data base as ‘Tasks’

Now I can assign tasks needed for the project completion and place them in the correct parts of the board depending on their current status: Not started, In progress and Done.

2. Status (Type of property: Status)

I create 3 possibilities to later choose from: Not started, In Progress and Done.

Relation (Type of property: Relation)

I choose the property as related to my ‘Tasks’ data base.

Next, I click on the empty row and add related tasks from the given data base. In my case those are: ‘Application form’, ‘LinkedIn announcement’ and ‘Presentation’.

Completion (Type of property: Rollup)

I edit the property and choose the following options:

• Relation: ‘Tasks’ data base

• Property: ‘Status’

• Calculate: ‘Per cent per group’ and within it I choose the calculation to be done based on the number of completed subtasks.

I also find the bar view to be the most convenient.

Deadline (Type of property: Date)

Once I click on the ‘Deadline’ row I can set the end date for the project.

If you don’t want to set your own table, here you can find the ready template.

Just copy it and adjust to your own data bases.

Remember to link all the pages correctly so that the template works without any issues.

Summing up, project execution is all about being well-organised.

Just stick to the plan, track progress, and make adjustments as needed.

Remember to define the project scope, break it into smaller steps, set deadlines and milestones, manage risks and ensure its quality.

What's new with GPT-4o?

Just a few weeks ago OpenAI has introduced its newest AI model – GPT-4o.

Comparing to the previous versions its abilities in terms of text, voice and vision has improved.

What does the model provide?

• Real-time interactions: GPT-4o can engage in verbal conversations without noticeable delays, closely mimicking human interactions. This makes conversations with the AI feel more natural and fluid, significantly improving the user experience.

• Multimodal analysis and generation: the model can process and respond to various types of data, including audio, images, and text. It understands these different mediums and generates coherent responses across them.

• Language: with support extended to 50 languages, GPT-4o handles multilingual tasks effortlessly. This broad language capability allows it to interact with users from diverse backgrounds, making it more inclusive and useful globally.

• Sentiment analysis: the model can detect and understand user sentiment, capturing the emotional context of interactions. This capability allows it to respond more empathetically and appropriately in the conversations, enhancing its effectiveness in customer service and personal assistant roles.

• Voice nuance: GPT-4o can generate speech with subtle emotional nuances, making its spoken responses sound more human-like. This feature is particularly beneficial for applications requiring sensitive communication, such as counseling or customer support.

• File uploads: users can upload files for specific data analysis, and GPT-4o will analyse the content to provide relevant insights. This functionality is useful for tasks that require detailed examination of datasets.

ChatGPT can look at images and figure out the emotions they show, like happiness, sadness, anger, or surprise. I attach a random image of a man and that is the output I get:

Document comprehension

ChatGPT can also analyse documents by extracting key information, summarising content and identifying important themes. It useful for tasks such as reviewing reports, legal documents, and research papers. I test it on a simple example – I attach a photo of the restaurant bill and ask how much I should pay:

Answering questions regarding visuals

Finally, ChatGPT is highly skilled at explaining visual content. It can answer questions regarding various types of images. I attach a picture from any wanted movie scene and ask for its source:

Cost and availability

GPT-4o will be free for all ChatGPT users, but with a limit on usage.

ChatGPT Plus users (who pay $20 per month) get five times the usage limit and early access to new features.

Developers can use GPT-4o through an API (for half the price of GPT-4-Turbo).

Conclusions

The introduction of GPT-4o surely marks a significant advancement in AI technology, with its improved capabilities in text, voice, and vision processing.

Features like sentiment analysis and image understanding enhances its utility in different areas like customer service, personal assistance and data analysis.

Well, technically speaking, it's not.

Plagiarism, at its core, involves taking someone else's work and passing it off as your own.

AI tools have the capability to create the original content from scratch, which would mean their outputs bypass any plagiarism concerns.

However, if the AI looks for the existing information online and then rephrase it to create seemingly new content in a way that it doesn’t get flagged as duplicated, that would be considered plagiarism.

If you use information from any source without later quoting it and giving credits to the author, the text is essentially plagiarised.

What is more, if you are a student, most teachers consider AI content equal with the plagiarised content, they don’t differentiate between the two types of text generating methods.

Is writing with AI ethical?

A lot of people see AI writing as unethical because you present a text as your own, when in fact it was AI that helped you create it.

It might seem unfair to take credits for something that you didn’t develop yourself.

The problem is widely spread in the academic sphere – you can pass your classes with AI generated essays without any basic knowledge on the subject and no real effort put into writing about it.

Same comes to the online writing – whole blog’s content can be created without even one original idea from the author.

However, the question stands: should some areas be left AI-free for the writters be able to fully take credit and pride of their achievements or is it just silly not to possibilites that AI offers us?

Prompts for paraphrasing without plagiarism using ChatGPT

While generating a whole text using AI tools might seem controversial, using ChatGPT to save time and effort on paraphrasing quotes from the chosen sources is a worthwhile idea.

To paraphrase your content correctly you should remember about a few rules:

• use synonyms wisely - avoid pompous vocabulary or being repetitive.

• mix up the order of ideas - try to make them easy to follow and engaging.

• keep quotes short and to the point - don’t make your readers confused or bored.

• add personal touch - include your own conclusions drawn on the topic (not obligatory).

I give ChatGPT the following input:

Remember not to use pompous vocabulary.

Avoid repetitions.

Change the order of the ideas.

Keep the language formal yet simple.

Make the text easy to follow by an average reader.

However, I think AI can be a valuable help for paraphrasing texts still keeping the work original and giving the credits to the authors of the sources.

Ultimately, the balance between leveraging AI tools and keeping individual creativity is a complex question that doesn’t have one right answer.

I plan on using ChatGPT to make my paraphrasing processes smoother and quicker.

Let's start with the constant self-congratulatory parade.

Endless posts describing every little win. I call it the "Look at me" Olympics.

Sure, it's important to highlight your successes, but there’s no need start every sentence with "I’m happy to announce that I am better than most of you".

It sometimes feels like we're caught up in a never-ending rat race and to be honest, it can be a bit cringe.

Sales pitch syndrome

There's more.

LinkedIn users who slide into your DMs the moment you accept their connection request, trying to sell you their latest product or service.

LinkedIn is supposed to be a platform for professional networking and knowledge sharing, but it often feels like I’m bombarded with low-budget shopping ads instead.

Don't get me wrong – I'm all for entrepreneurship, but there's a time and a place for everything.

It also matters how you do it.

And attacking someone with sales pitches the moment they accept your connection request is an easy way to scare them away and gain a professional reputation of a spammer.

Plagiarism and poor quality

Finally, let’s move on to the content quality (or rather lack of it).

Whether it's due to a lack of skill, effort, or awareness, I often see posts that are nothing more than watered-down, plagiarised versions of someone else's work.

Also the rise of AI-generated content – eye-roll-inducing posts, copy pasted from ChatGPT that don’t contain any original ideas from the author.

Sure, it would be silly not to take advantage of the possibilities that AI offers us, but you can still do it in a way that won’t make the readers’ eyes bleed.

Finding value on LinkedIn

On the positive note though.

There are still plenty of users out there who are genuinely adding value to the platform - sharing interesting insights or providing free resources .

Also, LinkedIn can also be a helpful tool for job seekers and business owners - if you try enough you can expand professional network.

So, to make LinkedIn a better place for you just be merciless with unfollowing and marking annoying content as uninteresting.

Curate your feed, avoid drama, be yourself.

Of course it is and here’s why.

The way you write your resume will make you stand out (or not) from the crowd of other candidates for certain job position.

It is a primary tool to present your qualifications, experiences, and skills to potential employers.

It serves as your first impression - demonstrating your professionalism, attention to detail, and ability to effectively communicate.

And as you know that first impression matters.

Once you create a complete and convincing resume, all you need to do is update it once in a while or make small alternations depending on the job you apply for.

That is why I think it is worth putting time and effort into it and then profit from it professionally.

What does a good resume include?

A proper resume consists of a few crucial elements:

• Header - includes personal details like your name, phone number and email address - this way the employers can easily contact you and schedule interviews. Make sure your email handle looks professional.

• Short summary - 1 or 2 sentences summing up your professional career and key skills that show what you're good at and what you've done in your career. That statement helps you pitch yourself in front of the future employers.

• Education - your schools and degrees, starting with the most recent. Include the qualification you got, where you studied and when you started and finished.

• Work experience - write down your most relevant work history, beginning with the most recent job. Include the job title, employment dates, employer name and location. Under each job, use bullet points to give a brief overview of your responsibilities and achievements.

• Certificates - credentials that describe some sort of special training or achievements that are important for proving your additional qualifications.

• Skills, strengths and interests - this part shows what you like and what you feel you’re good at - offering employers a comprehensive understanding of your capabilities and character.

AI tools for writing an effective resume

On the market there are a lot of AI tools that offer help with writing resumes.

Most of them are free or require a small fee.

Same like with other writing tasks I think it’s worth considering using AI to save your time.

Resumes don’t require the abundance of creativity, rather ability to convincingly and clearly summarise certain information.

And that’s what AI is good at.

In my case, AI pointed out, among other things, the need to include the number of years of experience I have in the field in my summary or to add quantifiable achievements wherever possible in the experience section.

In short, a well-written resume is a basis for an effective job hunt.

It's your chance to show off your skills and make a good first impression.

That's why it's worth putting effort into creating it.

Still, I rather do it wisely using various available AI tools.

I automate the process, but still leave myself the possibility to add some personal touch.

What can be automated in your Gmail mailbox?

There are a few Gmail options that make my life easier when it comes to email organization.

All you need to do is set certain features beforehand and then be more efficient each time you write or receive an email.

Here is what I do:

Labeling incoming emails

Gmail allows you to automatically filter and categorize incoming emails.

You can sort them by subject, sender or date. If needed you can access customized filters and catergorize them in even more detailed manner.

In the search box I click the horizontal lines that are on the right side.

I fill in the information that I want my filter to be based on and click ‘create filter’.

Then the options are endless.

I can forward the email, star it, label, mark as read and many others.

To keep my inbox clean I label my emails based on the senders and the work area they relate to.

This way I right away can see what the message most likely refers to before even opening it.

If I later need to search for some information in my mailbox, having all emails categorized also makes it quicker and easier.

Creating templates for email responses

Throughout the week I send a lot of emails regarding similar topics or having an alike structure.

Those mostly concern meeting requests, marketing campaigns or just providing follow-ups to the previous conversations.

Instead of retyping the text each time, I just create practical templates and apply them when needed.

To create templates I first need to enable them in the advanced options of Gmail.

Then in the compose window I click three dots in the right lower corner, click ‘templates’ button and save the draft of the text as a new template.

Next time I’m writing a similar mail I just access the pre-prepared templates – I again click on the three dots, access the templates and choose my outline among the saved options.

Scheduling emails

My work time is flexible, therefore I sometimes read or reply to emails outside of the standard working hours.

I don’t want to send messages to the clients late at night, so here the scheduling option on Gmail comes in handy.

It’s very simple:

In the composition window next to the ‘send’ button I click the down arrow symbol.

Then I put the time of date and time of the day that I want my mail to be sent.

And done.

Adding events to the calendar

In order not to forget about any important meetings or tasks I always put them in my Google calendar.

I learnt if I don’t do it right away I will most likely miss them.

When sending an email regarding a meeting, I can already schedule it and include the invitation in the body of the text by clicking ‘set up time to meet’ in the lower bar in the composition window.

New Gmail option also allows you to send the suggestion for the time of the meeting (instead of a one set option) based on the free spots in your calendar.

I find it very useful to do it all in one tab and not go back and forth between the applications.

Conclusions

Organizing a mailbox might seem like a tedious task, but it actually isn’t.

Once you do it, you can enjoy it for a long time and just add some small alterations along the way.

I heard many times that being overly organized leaves no space for spontaneity or creativeness.

When it comes to the professional part of my life I totally disagree.

Having every day work aspects in order helps me free my time to do the things that matter more at my job.

An abstract helps readers to quickly decide whether they will need your paper for their own purpose or not.

Additionally, abstracts are required for a number of reasons: applying articles for journals, getting grants, completing thesis and submitting conference talk proposals.

What does a perfect abstract include?

An abstract should gather the key topics and findings of your research in a direct and clear manner.

It should make sense on its own without making references to the outside sources or to the paper itself.

While writing my own abstract papers I always remember to include the following parts:

• main topic – stating the problem, what your paper/article is really about. You want your readers to care about the mentioned issue.

• reason for writing – why the topic you write about is important for a certain field. Include the background and context to help the readers understand its relevance.

• methodology – how did you do it? Explain your methods and approach.

• findings – results of your project.

Phrasing an abstract correctly helps it being more efficiently found in search engines and data bases.

I also pay attention to implementing the proper key words to help the readers with the selection of the paper.

Maximum length of a message you can send to ChatGPT is around 3 thousand words. It is a result of language model’s ‘context window’ size which for most models these days is 4096 tokens. One token is about 3/4 of a word, depending on the word itself and the language.

Firstly, soft skills and essential for career growth regardless of the industry.

It means that no matter how your professional path changes certain abilities will stay relevant, so I think it’s worth putting time and effort in their development.

Moreover, besides the obvious individual advantages for self-growth, promoting soft skills also improves the way the whole company works.

Employers value them more and more as they result in increased productivity, better company culture and more creative ideas.

There are a lot of skills that can be called essential, though I chose 5 which I found absolutely must-have.

What I’ve learned from my own experience is that not delivering a detailed enough instruction often ends up with failed expectations. It is also the responsibility of the receiver to ask about the details if some things are not clear.

Also, it’s worth remembering that communication covers both verbal and nonverbal signals and we should not disregard the effects of our body language either.

I try to stay open and curious towards learning new skills or facing upcoming challenges.

Seeing them as opportunities, rather motivates me and gives me an adrenaline rush than drags me down.

Employers value those who are able to bounce back quickly from failures and be eager to find new solutions.

Also, this newsletter is an example of me exploring a new area and sharing my learnings.

4. Teamwork

Whether you are an extrovert or an introvert, you will be forced to cooperate with people.

You can work remotely and still won’t fully avoid human contact.

One of my friends working in IT told me that times when a software developer could just silently write code and lock himself up in the room are over.

You do need teamwork skills like collaboration or accountability no matter what your responsibilities are.

I used to to think I can always do everything on my own and don’t need any additional help, but actually sharing ideas can often result in better problem solutions or more creative proposals.

5. Emotional intelligence

It’s probably the hardest skills to measure or name.

It includes empathy towards other coworkers and self-awareness of your own strengths and weaknesses.

I heard many times that in business you should be as cold as ice – I think it’s valid to say you should control your emotions at work, however that doesn’t mean you should completely lack the human side.

Another aspect would also be motivation – it took me some time to realise that it comes in flows and that there’s nothing wrong in that. Then it is discipline that pushes me to complete given tasks.

Same like you take care of your physical health, you should not forget about your mental well-being.
